Drawing Revision Control for Fabrication Quotes: A Practical Checklist

Preserve the issued basis

When a drawing revision arrives, begin by preserving the prior quote basis: the issued quote, estimate snapshot, drawing register, supplier evidence, assumptions, exclusions, and relevant customer clarifications. Do not overwrite the prior files. The team needs a factual record of what it priced before it can assess what changed.

This is useful even when the change proves minor. A clear prior basis lets the estimator explain why the original price remains valid, why it needs revision, or why a clarification is required.

Register and compare the new issue

Record the new drawings, issue dates, revision identifiers, transmittal, and any changed specification or schedule documents. Then compare the active set against the preserved basis. Review quantities, material grades, dimensions, tolerances, weld and coating requirements, referenced documents, site interfaces, and programme conditions rather than relying only on a changed title block.

A revision register should state what changed, the source of the change, the person who assessed it, and whether the effect is unresolved, administrative, technical, or commercial. That is enough to make the next decision reviewable without pretending the comparison is fully automated.

Choose the commercial response

An administrative correction may require a register update only. A change to quantity, material, finish, tolerance, inspection, access, programme, or scope may require a clarification, revised quote, option, or variation. If the available evidence is incomplete, state the assumption or request the missing information instead of absorbing the uncertainty into the existing estimate.

NSW construction guidance distinguishes an allowance that is identified when the contract is formed from a later variation caused by a change. The applicable contract process differs by project, but the estimating control is consistent: identify the basis, show the change, and preserve the decision record.

Issue a controlled revision

Before issuing a revised offer, confirm the updated source set, quote validity, affected assumptions, exclusions, supplier evidence, and the person authorising the commercial response. State whether the new offer supersedes the previous one and which drawing or specification revision it addresses.

Keep the prior issue available for later reference. It avoids ambiguity if a customer, project manager, or production team needs to understand how a change affected price, lead time, or scope.
